Planning weddings is more than beautiful designs and perfectly timed timelines. There is all the behind the scenes of actually running your wedding business. When you’re days are filled with planning weddings, designing weddings, responding to client emails and booking clients you must have tools to help everything run smoothly.

You need tools to help you look like a pro, keep your systems running, continuing booking clients and keep planning weddings.


One of the first things you need when you start a wedding planning business is a website. It’s also something you need when at every stage of your wedding business. Your website is often the first impression couples and vendors have of you, your work and your style. As the saying goes, you only have one chance to make a first impression.  I’ve been using Squarespace for years. I love it because it is all-in-one (SEO, analytics, buttons, etc.), easy to use (no fancy coding skills needed), clean, and the drag and drop templates look beautiful.


Whether you have three leads or 30 leads, managing those leads is a meticulous process and people can easily fall through the cracks, without the right tool. That’s where HoneyBook comes in.  Honeybook is fantastic for receiving leads, sending an automated response to inquiries (so you don’t have to reply at all hours of the day and night), sending proposals, getting contracts signed and taking payments. I really like their contact form that I can embed straight into my Squarespace website, so when someone inquires, they go right into my HoneyBook projects where I can keep track of them. I could not run my business without GSuite. Google Drive was a huge game changer in my wedding planning and team collaboration world. GSuite is your cloud solution for email, sharing documents in

Google Drive, storing photos, your online calendar and more. We all know about Gmail, but there is so much more than just that. GSuite cloud based, so it’s always backed up and I can access anything I want (like my email, or a client timeline)  from any computer, my phone and tablet. My virtual assistant and I share documents in Google Drive so that we both always have the most current version. The calendar is great for time blocking, so I can manage my time and get more done.


No more going back and forth for a week via email to find a time that works for you and the other person. That is such a time suck! Calendly lets the other person pick a time that works for them, from your list of times. It’s easy to set up, easy to use and has a clean design. The basic version is free and robust. Finding times and scheduling meetings is easy with Calendly.


I am not good at math and accounting is extremely painful for me, that’s why I like FreshBooks. Freshbooks is bookkeeping software that is easy, fast and has excellent customer service. With FreshBooks you can send invoices, track time, manage receipts, track expenses and more. I really love the time tracking tool so I know how much time each client is taking.  With the FreshBooks app, I can attached a photo of a receipt to an invoice, which is fast and easy. I can also run basic reports so I know how much money I’m making and spending.

Google Hangouts / Facetime

The ability to do video calls is a must for communicating with clients and other wedding vendors. It’s much more authentic and personable when you can see the person you are talking to. Google Hangouts is part of G Suite, but I want to point it out because you can have multiple people on a Google Hangouts video call. This is an important feature because couples are not always in the same location during calls. Facetime added a feature so that multiple people can be on a call, so that’s now an easy option for people with apple products.
